Event Booking Policy
Comprehensive terms and conditions for hosting private events at The Winery Singapore

Booking & Reservations
Minimum Guests: Private events require minimum 30 guests
Deposit: 50% deposit required to secure event date (credited to final bill)
Confirmation: Booking confirmed only upon deposit receipt
Quotation Validity: All quotes valid for 14 days from issue date
Partial Deposits: Alternative payment arrangements subject to management approval
Final Numbers: Guest count must be confirmed 7 days prior to event
Guaranteed Minimum: Confirmed count becomes your guaranteed minimum
Billing: Charged based on guaranteed minimum or actual attendance, whichever is higher
Additional Guests: Guests exceeding guaranteed count charged at contracted per-person rate
Maximum Increases: Increases beyond 10% of guaranteed count subject to venue and kitchen capabilities
Pricing & Payment
Per Person Pricing: All packages priced per person
Service Charge & GST: All prices subject to 10% service charge and prevailing GST
Weekend Surcharge: $1,500 applies for Friday, Saturday, and Sunday events (waived for events above $10,000++)
Price Lock: Prices locked upon deposit receipt for confirmed bookings
Deposit Credit: Initial deposit credited to final bill
Final Payment: Balance due upon arrival before service commences
Credit Card Pre-Authorization: Required 48 hours prior for potential overages and incidentals
Payment Methods: Cash, credit card, or corporate billing (subject to credit approval)
NSF/Declined Payments: $50 fee for returned checks or declined payments
Pre-Payment Benefits: 20% discount on à la carte additions when pre-paid
Standard À La Carte: 10% discount on regular menu additions
Volume Discounts: Additional discounts available for 100+ guests on add-on items
Food & Beverage
Menu Selection: Food and beverage selections must be confirmed 7 days prior
Dietary Requirements: Special dietary needs must be communicated 7 days in advance
Menu Modifications: Changes after confirmation deadline subject to administrative fee
Last-Minute Changes: Modifications within 48 hours subject to surcharge and availability
Additional Items: Priced according to current add-on rates
Outside Food & Beverage: Not permitted except celebration cakes (cakeage fees may apply)
Leftover Policy: Due to food safety regulations, leftover food cannot be packed
Beverage Service: Management reserves right to make comparable substitutions if specific items unavailable
Corkage: Complimentary for 1 bottle per 10 guests
Venue & Service
Package Duration: Event times strictly observed as per package selection
Setup: Standard setup time included; additional hours at venue hire rates
Extensions: Charged at pro-rated package rates per hour (minimum 30-minute blocks)
Breakdown: All items must be removed within 30 minutes of event end
Overtime: Additional charges apply in 15-minute blocks after grace period
Capacity Limits: Events must comply with venue's licensed capacity
Operating Hours: Events must conclude within venue's licensed operating hours
Music & Entertainment: External DJs/bands subject to prior approval and sound restrictions
Decorations: No adhesives on walls; open flames require prior approval
Damages: Client liable for any damages to venue property caused by guests or vendors
Valet Parking: $20 per car (optional)
Menu Tastings: Complimentary for qualifying events; standard fees apply otherwise
Rush Events: Events booked with short notice subject to rush surcharge
Alcohol Service & Compliance
Legal Age: No alcohol service to persons under 18 years
Identification: Management reserves right to request ID verification
Responsible Service: Right to refuse service to intoxicated guests
Minor Supervision: Minors must be supervised by guardians at all times
Permits: Client responsible for obtaining any special event permits
Noise Regulations: Client liable for fines resulting from noise violations
Illegal Activities: Immediate event termination with no refund
Staff Conduct: Harassment of staff results in immediate termination without refund
Cancellations & Changes
30+ Days Notice: 50% refund of deposit
14-29 Days Notice: 25% refund of deposit
Less than 14 Days: No refund of deposit
No-Show Events: No refund; full payment required
Rescheduling: Subject to venue availability
Date Change Fee: May incur administrative charges
Multiple Changes: Excessive date changes may result in cancellation of booking
Uncontrollable Circumstances: No liability for events beyond reasonable control (natural disasters, government restrictions, etc.)
Alternative Arrangements: Will work with client to reschedule where possible
Refund Policy: Deposit transferable to future date within 12 months
Liability & Indemnification
Property Loss: Venue not responsible for lost, stolen, or damaged personal property
Personal Injury: Venue not liable except in cases of proven negligence
Third-Party Vendors: Client responsible for all vendor actions and damages
Indemnification: Client agrees to indemnify venue from claims arising from their event
Event Insurance: May be required for events over 100 guests
Credit Card Authorization: Card on file authorized for damages or additional charges
Collection Costs: Client responsible for legal fees if collection action required
General Terms
Service Standards: Management reserves right to refuse service or remove disruptive guests
Photography Rights: Venue may photograph events for marketing (opt-out available in writing)
Menu & Recipes: All intellectual property remains with venue
Reviews/Testimonials: May be used for marketing unless client opts out
Billing Disputes: Must be raised within 7 days of event
Service Issues: Must be reported during event for immediate resolution
Gratuities: Service charge does not include gratuities for exceptional service
Guest Information: Client responsible for accuracy of guest information provided
Privacy Compliance: Guest data used only for event purposes
Marketing Communications: Opt-in basis only
Agreement Acknowledgment
